Administrative Records

Approved by the ARLIS Founders Board on February 17, 2000

An administrative record is accepted at the discretion of the ARLIS library team.  Potential contributors must complete an Administrative Record Application Form prior to depositing a collection at ARLIS.  ARLIS will alert the potential contributor within two weeks of form completion whether the administrative record will be granted space at ARLIS.  Priority will be given to items that conform to ARLIS’s collection development scope, and only records that have been organized and indexed will be considered.  Non-original records are preferred. The contributor is solely responsible for maintenance, update, growth, and replacement of any or all portions of its records deposited at ARLIS.  ARLIS is not responsible for the certification, accuracy, completeness, currency, or availability of the items shelved in the administrative records section.  ARLIS will not be responsible for returning administrative records to contributors.  Administrative records that are not retrieved by contributors within two weeks of the final date indicated on the Administrative Record Application Form are subject to disposal by ARLIS. ARLIS does not track usage frequency or record names of administrative record users.  Costs may be associated with large collections or long-term placement.  Access to founding agency administrative records placed at ARLIS may be restricted by the agency owning the record.
